Set Up Managers and Direct Reports
Use manager assignments to control who appears in a manager’s My Team page in 5Mins.
When a learner is assigned to a manager, they become that manager’s direct report. The manager can then access team reporting for those learners from My Team, including progress, performance, course tracking, skills, and shared resources insights.
What Managers Can See
Managers can only see reporting data for people assigned to them as direct reports.
In My Team, managers can view:
Their total number of direct reports
Overall performance for their direct reports
Skills distribution
Course progress and course tracker data
Shared resources insights
Individual learner reports
Managers do not automatically see everyone in their team or company. A learner must be assigned to them as a direct report.
How To Assign a Manager
Invite a Single Person
Go to Admin → People.
Click Invite People.
Add the learner’s details.
In the Reports To field, search for and select their manager.
Send the invite.
Once saved, that learner will appear in the manager’s My Team page.
Invite People in Bulk
When uploading people by CSV, use the optional reports_to column.
Add the manager’s work email in that column:
first_name,last_name,email,team_name,reports_to
Alex,Smith,alex@company.com,Sales,manager@company.comThe manager must already exist in 5Mins or be included in the same upload.
How To Change Someone’s Manager
Admins can update a learner’s manager at any time.
Go to Admin → People.
Find the person.
Click the three-dot menu.
Select Change Manager.
Choose the new manager.
Click Update manager.
You can also update this from Edit user profile by changing the Reports To field.
Reviewing Managers
Admins can review manager assignments from Admin → People.
The All People tab shows who each person reports to.
The Managers tab shows people who currently have direct reports.
Clicking the direct reports count shows which learners report to that manager.
Important Notes
A person cannot report to themselves.
Circular manager relationships are not allowed. For example, Alex cannot report to Sam if Sam also reports to Alex.
If your account is connected to an HRIS, manager fields may be locked in 5Mins. In that case, update the manager in your HRIS system and let the sync update 5Mins.
