Repeat feature in course enrolments

What are recurring enrolments?

Recurring enrolments allow you to automatically re-enrol learners in a course at regular intervals without manual intervention. This feature is ideal for compliance training, certification renewals, or any courses that need to be retaken periodically.

Steps shown in this video

  1. Open the course you want learners to retake on a schedule
  2. Click Enrol People to start the enrolment
  3. Choose who to enrol: individual people, or cohorts
  4. Tick the learners you want
  5. Confirm the selection: the left panel now shows how many are enrolled
  6. Next, set a start date and an optional due date
  7. Enrolment frequency defaults to One time only: learners are enrolled just once
  8. Choose Recurring to re-enrol them automatically at a set interval
  9. Set how often it repeats: here, every 3 months for a quarterly refresher
  10. Pick the time unit: weeks or months
  11. The summary confirms the schedule. A relative due date like 14 days after start carries into every cycle
  12. Click Save to keep these settings
  13. Finally, Review & Launch enrols your learners, and the course comes back for them automatically every cycle

Why has a course I already completed appeared again, or shown as overdue?

If a course you finished has come back, the most likely reason is that it is set to recur. Recurring enrolments automatically re-enrol learners at a set interval (for example every 3, 6 or 12 months), which is how compliance training, refreshers and certification renewals are kept current.

  • Each cycle's start date is calculated from the previous enrolment date, so the course comes back on a schedule.
  • If a due date was set as "X days after start date", that relative timing is maintained for each cycle, so a new cycle can carry a new deadline.
  • You will always receive the most current version of the course when you are re-enrolled.

If you don't think the course should be repeating, ask your admin to check the enrolment frequency on your enrolment - they can switch it back to One time only (see Cancelling recurring enrolments below).

When to use recurring enrolments

Use recurring enrolments when you need learners to:

  • Complete compliance training on a regular schedule
  • Refresh their knowledge periodically
  • Renew certifications annually or bi-annually
  • Stay current with evolving content and best practices

Setting up recurring enrolments

Step 1: Access the enrolment screen

  1. Navigate to the course you want to set up for recurring enrolment
  2. Click the Enrol People button to begin the enrolment process

Step 2: Select your learners

  1. Choose the individuals or groups you want to enrol
  2. Review the number of enrolled users shown in the left panel

Step 3: Set start and due dates

  1. Enter a start date when learners will first access the course
  2. Optionally, add a due date to establish a completion deadline

Step 4: Configure enrolment frequency

  1. Find the Enrolment frequency section
  2. Select between:
    • One time only: Learners will be enrolled just once (default)
    • Recurring: Learners will be automatically re-enrolled at specified intervals

Step 5: Define recurring parameters (if "Recurring" is selected)

When configuring recurring enrolments, you'll need to specify:

  • Repeat every: the interval (for example 3, 6, or 12)
  • The time unit: weeks or months

A summary underneath confirms the schedule, for example "This course will automatically repeat every 12 months".

Step 6: Review and launch

  1. Check the summary message that confirms your enrolment settings, then click Save to complete the date step
  2. Click Review & Launch
  3. Check the confirmation, then click Launch to create the recurring enrolment

Key considerations

  • Start dates: For recurring enrolments, each cycle's start date is calculated from the previous enrolment date
  • Due dates: If you set a due date as "X days after start date," this relative timing will be maintained for each recurring cycle
  • Existing enrolments: Changes to recurring settings will only affect future enrolments
  • Course updates: Learners will always receive the most current version of the course when they're re-enrolled

Managing recurring enrolments

The Repeat column on the course's Enrolments tab shows each enrolment's schedule, or "Never" for one-time enrolments.

Editing recurring enrolments

  1. Open the course and go to the Enrolments tab
  2. Find the enrolment you want to modify and open its actions menu (β€’β€’β€’). To change several at once, tick them and use the actions menu in the bar at the bottom of the screen
  3. Select Edit repeat rules
  4. Change Repeat every and, optionally, Due in X days after start date
  5. Click Update Repeat Rules

Note: If an enrolment's repeat cycle is managed by an automation, Edit repeat rules is unavailable and shows "Managed by automation". Change the schedule in the automation instead.

Cancelling recurring enrolments

  1. On the course's Enrolments tab, open the enrolment's actions menu (β€’β€’β€’) and select Edit repeat rules
  2. Change the enrolment frequency from Recurring to One time only
  3. Click Update Repeat Rules to stop future recurring enrolments

Example use cases

Annual compliance training:

  • Set up recurring enrolments with a 12-month interval
  • Learners automatically receive their annual refresher course

Quarterly safety refreshers:

  • Configure recurring enrolments with a 3-month interval
  • Maintain regular safety training without manual administration

Certification renewal:

  • Establish recurring enrolments timed with certification expiration
  • Ensure certifications remain current with automatic re-enrolment
