MS Teams Integration

5Mins MS Teams bot is a smart learning assistant that sends course reminders and curated learning nudges directly into Microsoft Teams. It's designed to help your team stay on track with their courses.

MS Teams integration guide

Setting up 5Mins in Microsoft Teams takes a few minutes and is done once for your whole organisation.

What you'll need: a Microsoft 365 administrator (Global Administrator or Cloud Application Administrator) to approve the app.

  1. Ask 5Mins Customer Success for your organisation's MS Teams integration link. The link is valid for 7 days, so if it shows This link has expired, ask for a new one.
  2. Your Microsoft 365 administrator opens the link and signs in with their Microsoft work account.
  3. Review the requested permissions, tick Consent on behalf of your organization, and click Accept.
  4. You're taken to the Select users to install the 5Mins bot page. Choose who should receive the bot. You can search by name or email, filter by employment type, department, or user type, and use Select All Visible or Deselect All.
  5. Click Install Bot for Selected Users.
  6. When you see 5Mins bot installed successfully! you can close the window. Installation carries on in the background, so it may take a little while to reach everyone on a large list.

If your organisation is already connected, the link shows Microsoft Teams is already connected instead, and there's nothing more to do.

After the integration

  • The 5Mins bot is installed for the people you selected. People added to 5Mins later get the bot automatically, as long as they're in your Microsoft directory.
  • Learners get a personal message in Teams when a course is assigned to them.
  • Learners are reminded to complete their course before it's due - by default 7 days and 1 day before, at 10:00 in their own timezone. Admins can pause these or add their own reminders under Automations > Workflows > Course reminders, and they arrive in Teams too.
  • Once a week, on Tuesdays at 10:00 in their own timezone, learners with overdue courses get a message listing them, with a link to each course they can still open.
  • If a learner doesn't pass a course, they get a message with their score and a link to try again.

To check it's working, go to Automations in the admin area and open the Workflows tab: the Course reminders description now lists Microsoft Teams as a reminder channel.

Security and permissions (for IT administrators)

Before your organisation can use the 5Mins Microsoft Teams integration, a Microsoft 365 administrator needs to grant admin consent. This is a one-time approval that lets 5Mins deliver learning notifications into Teams. Here's exactly what's requested and why.

Application (Client) ID: bac7ea32-fb3c-44d7-a9bf-4960a97e0f0b

Publisher: 5Mins Β· www.5mins.ai

Microsoft Graph permissions requested:

PermissionWhy it's needed
User.Read.AllMatch your learners to their Teams accounts so notifications reach the right person
TeamsAppInstallation.ReadWriteForUser.AllInstall the 5Mins bot for the people you select, and for people added to 5Mins later
AppCatalog.Read.AllReference the 5Mins app in your organisation's Teams app catalogue

Sign-in scopes: openid, profile, email, User.Read

What 5Mins does not access: The app is notification-only - it sends reminders and course alerts in a 1:1 (personal) chat. It reads basic user profile details (such as name, email address, job title, and department) so you can choose who gets the bot and so messages reach the right person. It has no access to your email, files, or chats, and cannot post into channels or read message content. Allowed domains are restricted to *.5mins.ai.

How to grant admin consent: use the integration link from 5Mins Customer Success (see the steps above). It is generated for your organisation, so after consent you are taken straight to the step where you choose who gets the bot. A Global Administrator or Cloud Application Administrator signs in, reviews the permissions listed above, and selects Accept.
