Events - Google Meet

5Mins lets admins run live online events (such as instructor-led sessions and webinars) using your own video conferencing tool. If your organisation uses Google Workspace, you can connect Google Meet so that every event you create automatically gets a Google Meet link.

Connecting Google Meet

  1. In the admin portal, go to Events.

  2. Click Create Event and choose Online Event. If no conferencing tool is connected yet, you're taken to the Choose your conferencing tool page.

  3. Select Connect with Google Meet. (Connect with Zoom and Connect with Microsoft Teams are also available if you'd prefer one of those.)

  4. You'll be taken to Google to authorise the connection. Sign in with the Google account you want 5Mins to use for hosting events and approve the requested permissions.

  5. Once authorised, you're returned to 5Mins and Google Meet becomes your connected conferencing tool. Choosing Create Event > Online Event now opens the event form directly.

Heads up: The conferencing tool you choose becomes the default for your events and can't be switched afterwards, so pick the tool your team uses. If you need to change it later, contact our Customer Success team.

Hosting events with Google Meet

Once Google Meet is connected, creating an event works the same as with any other provider:

  • Click Create Event > Online Event, then add the event name, date, start time, duration, and timezone, and click Create Event.

  • A Google Meet link is generated for the event automatically - there's no need to create one manually in Google Calendar.

  • Invite people from the event's Learners tab with Invite Learners (not needed for public or course events, where learners register or are added through enrolment).

  • Invitees receive the event details by email, and can join from the event card with Join Event from 10 minutes before the start time. As the host, use Start Event on the admin event page.

Frequently Asked Questions

Do I need a Google Workspace account?
Yes. Google Meet is connected using a Google account, so you'll need access to one when authorising the integration.

Can I use a different tool for some events?
The conferencing tool you connect becomes the default for your events. If you need to use a different provider, reach out to Customer Success.

Can I switch from Zoom or Teams to Google Meet later?
The selection can't be reverted on your own once made. Contact our Customer Success team if you need to change conferencing tools.
