Get your people in
This is for you if your organisation is set up in 5Mins but your colleagues are not in it yet. By the end of this article you will be able to invite people one at a time, and sync a whole list of people in one go with a CSV.
Before you start
Finish article 1, Welcome to 5Mins: how it all fits together, so you know your way around the admin sidebar.
Have the names and company email addresses of the people you want to invite.
Which route should you use?
There are two ways to get people into 5Mins, and the right one depends on how many people you are adding.
Invite people is the form-based route. You type in names and emails on screen. Use it for a handful of people, or for a new starter joining after your first rollout.
Bulk invite / Update people by CSV is the spreadsheet route. You upload a file and 5Mins applies it. Use it for your initial rollout, or any time you are adding or updating a long list of people at once.
Both routes start from the same place: People & Teams then People in the admin area.
Route 1: invite people individually

Open People & Teams β People, then choose Invite people
Fill in their name and company email
The email is where their invitation is sent
Optional: team, role, region, manager, a Start Date to schedule the invite, and an Employee Number
Add more people on the same screen, then click Invite β they'll show as Invited until they register
Open People & Teams then People in the admin sidebar.
Choose Invite people. The invite form opens.
Fill in the person's first name and last name.
Fill in their company email. This is where their invitation is sent, so check it carefully.
Add the optional details if you want them: team, role, region, manager, a Start Date to schedule the invite, and an Employee Number. You can leave these blank and come back to them later.
Add more people on the same screen if you have several to do, then click Invite.
Route 2: sync your people with a CSV

Download the template so your columns match what the sync expects
Export your current people as a backup before making changes
Upload your CSV β every row is validated, you preview all changes, then click Process users to apply
Open People & Teams then People in the admin area.
Choose Bulk invite / Update people by CSV.
Use Download CSV template and build your file from it, so your columns match what the sync expects.
Use Export current users to take a backup of your current people before you make changes. Do this every time. It is what you fall back on if the file was not what you thought it was.
Select your file to upload it. Every row is validated, and you get a preview of all the changes before anything happens.
Check the preview, then click Process users to apply the changes.
What you should see now
Your people appear in the People list. Anyone you have invited but who has not registered yet shows as Invited. Once they register, that changes. If you used the CSV route, the changes you saw in the preview are the changes that have been applied.
Common questions
What happens to the people I invite? An invitation goes to the email address you entered, and they stay marked as Invited until they register.
Can I use the CSV route to update people, not just add them? Yes. It is Bulk invite / Update people by CSV - the same upload both invites new people and updates existing ones. That is exactly why the export backup matters.
Do I have to fill in team, role, region, and manager now? No, they are optional on the invite form. The next article covers organising people into teams properly.
