Creating and Managing Learning Programs

Group several courses into one Learning Program: where Programs live, how to create, edit, duplicate and delete them, and which parts of the feature aren't switched on yet.

Learning Program

A Learning Program groups several courses together so you can manage a multi-course learning journey as one item, rather than handling each course separately. Each program has its own title, description, thumbnail, course list and enrolment list. You create and manage them in Admin β†’ Content & Courses β†’ Programs.

🚧 One part of Programs is still on its way. You can create programs, add and order courses, enrol people and track their progress today. The learner-facing program page hasn't shipped yet, so Preview is greyed out - see What's not available yet below.

πŸ“ Where to find Programs

  2. In the left sidebar, go to Content & Courses β†’ Programs.

βž• Creating a program

A program needs a title and at least one course before you can save it.

  1. On the Programs page, click Create Program. The editor opens on the Details tab.

  2. Type a name into Add Title. This is required and is capped at 100 characters.

  3. Optionally add a summary in Add a description.

  4. Optionally click Add Thumbnail to upload a cover image or generate one with AI. If you skip this, the program gets a default cover.

  5. Click Next to move to the Courses tab, then click Add Courses.

  6. In the Add courses to program panel, choose from Your Courses or 5Mins Courses (which you can filter by function or skill), or use Search for courses. Click Add next to each course you want, then close the panel.

  7. On the Courses tab, set up each course:

    • Order - drag a course by its handle to move it up or down the journey.

    • Enrolment - On program start enrols people in the course as soon as the program starts. After previous enrols them a set number of days, weeks or months after the previous course (or after program start, for the first course).

    • Due date - No due date, or Relative to start date to give people a set number of days, weeks or months to finish.

    • To take a course out, click its bin icon (Remove course).

  8. Click Create Program to save it.

πŸ’‘ The Create Program button stays greyed out until you've entered a title and added at least one course. Hover over it to see what's missing, for example "Add a title and at least one course to continue". To leave without saving, click Close editor - if you've made changes, you're asked whether to Keep Editing or Discard Changes.

πŸ‘₯ Enrolling people

  1. Open the program and click Enrol People (top right).

  2. In the Enrol people panel, choose who to enrol:

    • People - search for and tick individual people. Anyone already in the program shows as Enrolled.

    • Cohort - pick one or more saved cohorts. You can also open New Cohort in a new tab to build one. This option isn't shown to admins with a limited scope.

    • All is greyed out for now - enrolling everyone is coming soon.

  3. Under Program start date, choose Immediately or On specific date and pick a date.

  4. Click Launch Program (or Schedule Program if you chose a date). Once a program is live, the button reads Update instead.

When a program goes live you'll see Success! Your program is now live. Click Track Progress to jump to the Enrolments tab. People who were already enrolled are skipped rather than added twice.

πŸ” Inside a program

Click a program in the list to open it. The header shows the program name and description, how many courses and learners it has, the total course duration, and its status.

Below that are two tabs:

  • Courses - lists the courses in the program under Course, Enrolment and Due date.

  • Enrolments - shows who's enrolled and how they're progressing. Until people are enrolled it reads "You haven't enrolled any learners yet!" with an Enrol People button.

Tracking progress on the Enrolments tab

Once people are enrolled, the Enrolments tab shows summary cards for Total people enrolled, Completed, In progress and Not started, followed by a table with each learner's Name, Enrolment, Progress, Score and Completion date. Use Search for learners to find someone.

To get the data out, click Download Report and choose:

  • Download Snapshot - overall progress, scores and summary data.

  • Download Progress Report - a detailed per-learner breakdown of every course.

The download follows your search, so if you've searched for a learner, only the matching rows are exported.

✏️ Managing existing programs

Every program has an Actions menu (β‹―) - on the Programs list and on the program's own page. It gives you three options:

  • Edit - reopens the editor so you can change the title, description, thumbnail or courses. Click Save Program to keep your changes.

  • Duplicate - creates a copy, useful as a starting point for a similar journey.

  • Delete - removes the program after you confirm.

🚧 What's not available yet

  • The learner view. Preview and the share link are greyed out and note "Available once the learner program page ships", so learners don't see a program page yet.

  • Enrolling everyone at once. The All option in the Enrol people panel is greyed out. Use People or Cohort instead.

❓ FAQ

Why is Create Program greyed out? A program needs a title and at least one course. Hover over the button to see which is missing.

Can I add the same course twice? No. Each course can appear in a program only once.

Can learners see my programs? Not as a program page yet. The learner-facing program page hasn't shipped, which is why Preview is unavailable.

How is a program different from a course? A course is a single piece of training made up of lessons. A program is a wrapper around several courses, so a longer journey can be tracked as one thing.

I can't see Programs in my admin menu. Programs is being switched on gradually, so it may not be enabled for your account yet. Get in touch with support if you'd like it turned on.

What happens if I enrol someone who's already in the program? They're skipped, not enrolled twice.

Does deleting a program delete its courses? No. Courses exist in their own right under Content & Courses β†’ Your Courses, so removing a program doesn't remove course content.

What does the Status column mean? It shows where a program sits in its lifecycle: Ready to Launch, Scheduled or Live. See Program statuses above.
