03. Organise people into teams and managers
Organise people into teams and managers
This is for new 5Mins admins who have people in the platform and now need to give that list some shape. By the end you'll be able to create a team, add people to it, and set who reports to whom.
This step is worth doing before you enrol anyone. Enrolment and reporting both target teams, so a flat list of names means picking people one at a time and reading completion data with no way to group it. Managers matter for the same reason: once a person has a manager, their progress rolls up to someone who can act on it.
Before you start
Finish article 2, Get your people in. You need people in the platform before there is anything to organise.
Have a rough idea of the teams you want. Team names can be changed later, so a first pass is fine.
Part 1: create a team

π¬ Watch this as a short narrated video
Steps shown in this video
To add a team, open People & Teams β Teams and click Create a team
Give your team a name β you can always change it later
Click Create team β and it's live, ready for people
Next, hit Add people to team to build the crew β members can be assigned a manager or moved any time
Open People & Teams in the admin sidebar, go to Teams, and click Create a team. The team creation form opens.
Give your team a name. You can always change it later, so use whatever your organisation already calls that group.
Click Create team. The team is live straight away, ready for people.
Click Add people to team to build out the members. Members can be assigned a manager or moved to another team at any time, so nothing here is locked in.
Part 2: set up managers and direct reports

π¬ Watch this as a short narrated video
Steps shown in this video
Manager setup lives in Admin β People. The All People tab shows who each person reports to
The Managers tab lists everyone with direct reports β click a count to see who reports to them
Back on All People, open a learner's actions menu to change their manager
Choose Change Manager, pick the new manager, then click Update manager to save
You can also set Reports To when inviting people, or via the reports_to column in a CSV upload
Open People in the admin area. The All people tab shows who each person reports to.
Click the Managers tab. It lists everyone who has direct reports. Click a count to see who reports to that manager.
Go back to All people and open the actions menu on a learner's row.
Choose Change manager, pick the new manager, then click Update manager to save. The person's manager updates on their row.
You do not have to do this person by person. You can set Reports to when you invite people, and you can set it in bulk through the reports_to column in a CSV upload, which is the same upload you met in article 2.
What you should see now
Your team appears in People & Teams β Teams, with its members listed.
On the All people tab, people show who they report to.
The Managers tab lists your managers with a count of direct reports next to each one, and clicking a count shows the people behind it.
Common questions
I named a team wrong. Do I have to start again?
No. A team name can be changed after it is created, and members can be moved between teams at any time.
Do I have to add people to a team one at a time?
Use Add people to team on the team itself to add members. For a large group, the CSV upload from article 2 is the faster route, and it carries the reports_to column too.
Can someone be a manager without being set up separately?
Yes. Anyone who has at least one person reporting to them shows up on the Managers tab. You create managers by setting other people's manager, not by creating a manager record.
